​​Executive Assistant and Communications Coordinator 

The Vernon School District is seeking applications for the newly created excluded position of Executive Assistant and Communications Coordinator. The incumbent in this position provides executive level administration and secretarial services, and prepares and disseminates communication materials for the district in traditional formats and online media. You are professional and use effective interpersonal communication skills to best represent the district with internal and external staff, stakeholders, and the public. You anticipate the needs of your leaders and team members and assist by managing any administrative or operational issues before they arise.

This is a full time position and the successful candidate may be required to work evenings and weekends.


Working with the Superintendent, Secretary Treasurer, and Executive Assistant as a team to:
Develop and produce a wide range of publications, reports, presentations, advertisements and press releases. Coordinate the writing, design, layout, printing and distribution of such publications.

Act as a communications liaison for the district with regard to public communication, parent inquiries, and media relations, directing requests for information through appropriate channels.

Help manage the District's digital and social media presence including content on the district website and providing support to staff regarding social media tools.

Provide media with background information about the district, write news releases and communication materials. Plan content and write copy for publications, brochures, newsletters and the website.

Direct and/or perform a variety of administrative and executive secretarial functions.

Prepare committee meeting agendas, attend committee meetings, prepare minutes and resulting correspondence as required.

Maintain effective liaison with District Staff, Principals and Vice-principals and other employees.

Provide information, assistance and direction to a variety of internal and external contacts and independently handle inquiries or complaints not requiring the attention of the Superintendent or Secretary Treasurer or, based on the nature of the inquiry or complaint, refer such matters to the applicable staff person.


 Five (5) years related experience in a responsible senior administrative position.
 Strong positive interpersonal, communication skills, and conflict resolution skills.
 Advanced technical skills including experience in producing content, layout, and design elements for various types of publications.
 Proficient in the use of cloud-based apps, social media tools including uploading multimedia content, livestreaming, data based management, and responding in a timely manner to requests from the media and public sent via social media platforms.
 Superior organizational, planning, and analytical skills.

The preferred candidate will have:

 Proven ability to work independently, meet tight deadlines and manage changing priorities, and be detail oriented.
 Discretion and the ability to maintain confidentiality in all matters pertaining to the district.
 Proven organizational ability with considerable independence of action and judgment required in the day-to-day management of this position.
 Proven ability to develop presentation material, compose reports and correspondence with strong written and verbal communication skills.
 Post-secondary education in Business Administration/Office Management/Legal and Employee Relations, with 3-5 years experience in these fields.
 The ability to work as a member of a team to foster a supportive and service-directed climate throughout the school district.
 Advanced level of proficiency in office procedures, business writing and computer software in the following or similar applications: Microsoft Office programs; use of graphics/photos; internet; and the Outlook email/calendar program.
 Willingness to work flexible hours (as some meetings occur in the evening).
 Initiative and attention to detail.​
